A/R Aging Report

The A/R Aging report gives your team a real-time view of outstanding pay apps across projects. It helps you see what is still unpaid, how long balances have been outstanding, and where collection risk may be building.

Use this report to manage collections, track overdue payments, and focus follow-up on the projects, customers, and aging buckets that need attention most.


What this report shows

The A/R Aging report shows outstanding balances across your projects as of a selected date.

At a glance, you can see:

  • total pay apps outstanding

  • outstanding balances by aging bucket

  • the total amount outstanding in a selected aging range

  • average time to paid over the last 6 months

  • total past-due balances by project

Below the summary cards, the report breaks down receivables by project so you can quickly identify which balances are current, overdue, or significantly aged.


Where to find it

Go to Reporting and select A/R aging.


Who can use this report

Access to the A/R Aging report depends on your permissions in Siteline. Admins can view all company projects, while non-admin users only see jobs they have access to.


Filters and controls

Use the filters at the top of the report to narrow your view.

You can filter by:

  • date

  • search

  • billing type

  • payment status

  • project type

  • office

  • lead PM

  • GC

These filters make it easy to review aging by team, customer, or project group and focus on the receivables that matter most. The Reporting help article also notes that users can filter Billing and A/R Aging data by Project Type, Office, and Lead PM, and use search within those tabs.


Summary cards

At the top of the report, you’ll see summary cards that highlight key accounts receivable metrics.

Pay apps outstanding

This card shows the total dollar amount of outstanding pay apps in your current view.

Use it to quickly understand the size of your open receivables as of the selected date.

Aging bucket total

The middle summary card shows the total outstanding amount for a selected aging bucket. You can adjust this card to highlight:

  • Total

  • >30 days

  • >60 days

  • >90 days

  • >120 days

Use this card to quickly isolate older receivables and understand where collection risk is building.

Avg. time to paid (last 6 mo.)

This card shows the average number of days it took to get paid over the last 6 months. Use it to understand overall payment speed and monitor whether collections are improving or slowing over time.


Report columns

The table below the summary cards shows aging details for each project in your current view.

Column

Description

The project number.

Name

The project name. This row may also show the customer or GC name below it for additional context. You can click the project name to go to that project in Siteline.

Current

Outstanding amounts that are not yet past due.

>30 days

Outstanding amounts that are more than 30 days old.

>60 days

Outstanding amounts that are more than 60 days old.

>90 days

Outstanding amounts that are more than 90 days old.

>120 days

Outstanding amounts that are more than 120 days old.

Total

The total outstanding amount for the project across all aging buckets.

Total past due

The total outstanding amount that is past due for the project.

Avg. days to paid

The average number of days it takes for that project to get paid.


How aging is calculated

By default, aging data in Siteline is calculated based on the date that marks the end of the billing period.

If your team prefers, you can change this setting so aging is calculated based on the invoice date instead. To update this, go to Company Settings, click Edit, and update the A/R Aging Calculation setting.


How to use the A/R Aging report

The A/R Aging report helps answer questions like:

  • How much A/R is currently outstanding?

  • How much of our outstanding A/R is overdue?

  • Which balances are older than 30, 60, 90, or 120 days?

  • Which projects or GCs are consistently slow to pay?

  • Where should we focus collection follow-up first?

  • Who is following up on overdue receivables?


How to read the report

Here are a few ways to use the report in your collection workflow:

Review total outstanding A/R

Start with the Pay apps outstanding card to understand the total amount currently open in your selected view.

Focus on older aging buckets

Use the middle summary card to switch between Total, >30 days, >60 days, >90 days, and >120 days. This helps you quickly isolate older receivables that may need more urgent follow-up.

Prioritize past-due receivables

Use the Payment status filter to focus on Past due balances, then sort by the aging columns to surface the oldest receivables first. Siteline’s reporting guide specifically recommends filtering to Past due and sorting by aging bucket when deciding what to prioritize.

Identify slow-paying customers or projects

Filter by GC to review payment behavior across customers. Siteline’s core reporting guide suggests comparing Avg. days to paid to identify projects or GCs that are consistently late.

Drill into project follow-up

Click into a project line item to review more detail. Siteline’s reporting guide also notes that teams can use comment threads and @mentions on overdue items to assign follow-up and keep collection activity organized.


Tips and best practices

  • Review the report regularly so overdue receivables do not sit too long.

  • Use the Payment status filter to quickly isolate past-due balances.

  • Use older aging buckets to prioritize the receivables with the highest collection risk.

  • Filter by GC, Office, or Lead PM to identify trends across customers and teams.

  • Review Avg. days to paid alongside outstanding balances to spot slow-paying accounts early.


Exporting the report

Use the Export menu in the top-right corner of the report to download the data for additional review or sharing.

Exports can be useful when you want to:

  • analyze aging data in Excel

  • share A/R details with internal stakeholders

  • keep a record of outstanding receivables outside of Siteline
