The Billing report gives your team a month-by-month view of billing activity across projects. It helps you understand how much has been billed, what is still in draft, how much retainage has been billed, and which projects still have contract value left to bill.
Use this report to monitor billing progress, stay ahead of missed billing, and quickly spot projects that may need follow-up before the billing cycle closes.
What this report shows
The Billing report shows billing activity across your projects for a selected month.
At a glance, you can see:
total billing for the month
how much of that total came from progress billing versus retention billing
how much billing is still in draft
total retention billed to date
how many projects were billed during the selected month
Below the summary cards, the report shows a project-level breakdown of key billing and contract data so you can quickly understand where each job stands.
Where to find it
Go to Reporting and select Billing.
Who can use this report
Access to the Billing report depends on your permissions in Siteline. Admins can typically view all company projects, while other users will only see the projects they have access to.
Filters and controls
Use the filters at the top of the report to narrow your view. You can filter by:
month
search
project type
office
lead PM
GC
status
You can also turn Include draft billing on or off, depending on whether you want draft billing included in the report view.
Billing view
Use the dropdown at the top of the report to switch between Gross billing and Net billing.
Gross billing shows billing amounts before retention is deducted.
Net billing shows billing amounts after retention is deducted.
This lets you review billing activity from two perspectives, depending on whether you want to focus on total billed amounts or what was billed net of retention.
Summary cards
At the top of the report, you’ll see summary cards that highlight key billing metrics for the selected month.
Billing this month
This card shows the total amount billed during the selected month.
It also breaks that total into:
Progress billed: the amount billed for project progress during the month
Retention billed: the amount of retention billed during the month
Use this card to quickly understand total billing volume and how that billing is split.
In draft
This card shows the total amount of billing that is still in draft for the selected month.
Use it to track billing that has been started but not yet finalized or submitted. A high draft amount may signal that billing is still in progress or that some projects need follow-up before the cycle is complete.
Total retention to date
This card shows the total retention billed to date across the projects in your current view. This helps you understand how much retention has been billed overall, not just within the selected month.
Projects billed
This card shows how many projects were billed during the selected month, along with the total number of projects in the current view. Use it to quickly gauge billing coverage across your portfolio.
Project table
The table below the summary cards shows billing and contract details for each project in your current view.
Columns in the report
Column | Description |
# | The project number. |
Name | The project name. This row may also show the customer or GC name below it for additional context. |
Gross billing | The amount billed for the selected month for that project. |
% Complete | The percent billed to date compared to the project’s total contract value. Use this to understand how far along the project is from a billing perspective. |
Total contract | The total contract value for the project. |
Gross billed | The total amount billed to date for the project. |
Balance to finish | The remaining contract value left to bill. This helps you quickly see which projects still have billing left to complete. |
Total retainage | The total retainage billed to date for the project. |
Lead PM | The lead project manager assigned to the project. |
How to use the Billing report
The Billing report helps answer questions like:
How much are we billing this month?
How much billing is still in draft?
Which projects still need billing attention?
How much contract value is left to bill?
How much retention have we billed to date?
Which PMs, offices, or GCs have the most billing activity?
How to read the report
Here are a few ways to use the report during your billing cycle:
Monitor current-month billing activity
Review the Billing this month card to understand how much billing has gone out during the selected month and how that total breaks down between progress billing and retention billing.
Keep an eye on draft billing
Review the In draft card to spot billing that still needs action. If draft billing remains high late in the cycle, your team may need to finalize pay apps before submission deadlines.
Compare billed amounts to contract value
Use Gross billed, % Complete, and Balance to finish together to understand billing progress on each project. Projects with a large Balance to finish may still have meaningful billing left, while projects nearing completion should show little remaining balance.
Identify projects with little or no billing activity
If an active project shows little or no billing for the selected month, it may be worth checking whether billing is delayed, still in draft, or simply not expected during that cycle.
Review billing across teams or customers
Use the filters to review billing by Lead PM, Office, GC, or Project type. This can help you identify trends, workload imbalances, or projects that may need closer attention.
Tips and best practices
Review the report regularly throughout each billing cycle, not just at month-end.
Turn on Include draft billing when you want a fuller view of work in progress for the month.
Filter by Lead PM or Office to support internal billing reviews.
Watch Balance to finish to make sure projects with billing remaining do not get overlooked.
Use Projects billed as a quick way to measure billing coverage across your jobs.
Exporting the report
Use the Export menu in the top-right corner of the report to download the data for additional review or sharing. You can choose a PDF or Excel.

analyze billing activity in Excel
share billing data with internal stakeholders
keep a record of monthly billing activity outside of Siteline
