Manage Your Company Notary and Export a Notary Journal

Siteline lets you manage your company notary from Company Settings and export a journal of notarized document activity.

Written by Bradley LaFave

The journal provides a record of notarization events across Siteline, making it easier to support internal recordkeeping, audits, and state-specific notary requirements.

Note: Siteline currently supports one notary per company.

Manage your company notary

To add or update your notary:

  1. Click your company name in the upper-right corner of Siteline.

  2. Select Company Settings.

  3. Scroll down to the Notary section.

  4. From here, you can:

    • Add a notary

    • Change the user assigned as the notary

    • Update the notary’s state

    • Update commission information

    • Edit the commission expiration date

    • Delete the notary

If your company already had notary information stored in Siteline, the existing information may already appear in this section.

Export your notary journal

From the Notary section in Company Settings, click Export journal.

Siteline will download an Excel file containing recorded notarization events across supported documents in Siteline, including pay apps, lien waivers, and other notarized forms.

The export includes information such as:

  • Date and time of the notarial act

  • Document type

  • Name and address of the principal

  • Evidence of identity

  • Fee

This gives your team one place to review and retain a record of notarized documents completed through Siteline.

Why use the notary journal?

Some states require notaries to maintain a journal of their notarizations. The export can also be useful for internal compliance reviews and audits, giving your team a consolidated record without having to review documents one at a time.

For example, this can be particularly useful for companies operating in Virginia, where maintaining records of notarized activity may be required depending on the type of notarization and applicable rules.

Need to change your notary?

Return to:

Company Settings → Notary

From there, you can edit the current notary, assign a different user, or remove the notary from your company settings.
