Siteline simplifies how subcontractors prepare, track, and sync pay apps when a general contractor requires GCPay. This guide explains how Siteline and GCPay work together, how to set up the integration, how to create a Siteline project from GCPay, and how to complete your monthly billing workflow.
Important: Before you can import a GCPay project or sync billing, your company must create a Siteline Admin user in GCPay and give that user the required global and project-level permissions. This setup happens inside GCPay and does not require help from your IT team or Administrator-level access for the Siteline Admin user.
How Siteline Works With GCPay
Siteline becomes the place where your team prepares and manages monthly billing. Once your pay app is ready, Siteline syncs your billing information to the corresponding draw request or pay app in GCPay. You then log in to GCPay to complete any remaining signatures, notarization, and final submission steps.
Party Responsibilities: Who does what?
Party | Responsibilities |
Your company | Create the Siteline Admin user in GCPay, assign the required permissions, link GCPay projects to Siteline, prepare billing in Siteline, sync it to GCPay, and complete final submission in GCPay. |
Siteline | Provide the email address for the Siteline Admin user, complete and test the integration after receiving the invitation, and notify you when it is ready to use. |

Siteline supports sending the following information to GCPay:
Billing values
Retention
Lien waivers
Compliance documents
Compliance documents use a separate syncing workflow in Siteline’s Compliance module. See Sync Compliance Documents to GCPay below for instructions.
One-Time Setup: Connect Your Company to GCPay
To set up the integration, create a Siteline Admin user in GCPay, configure its permissions, and send the account invitation to Siteline.
This process is similar to adding a new colleague from your team to GCPay. The Siteline Admin user does not need Administrator-level access.
Step 1: Add the Siteline Admin user
Create a new GCPay user using the following information:
Field | Value |
Name | Siteline Admin |
Phone number | (650) 360-1267 |
The email address provided by your Siteline CSM |
Step 2: Configure the global permissions
At the company level, enable the following permissions for the Siteline Admin user:
Default User
Compliance Officer
Lien Officer
The Default User permission automatically adds the Siteline Admin user to new GCPay projects created in the future.
Step 3: Confirm the project-level permissions
Add the Siteline Admin user to every existing GCPay project you want to use with Siteline. On each project, confirm that the following permissions are enabled:
Compliance Officer
Lien Officer
Editor, when required by the project’s settings
Confirm these permissions on every applicable project to prevent errors during project setup and monthly syncing.
Step 4: Ask Siteline to complete the setup
After sending the GCPay account invitation, notify your Siteline CSM. The Siteline team will confirm that it received the invitation, complete the remaining setup and testing, and let you know when the integration is ready to use.
Create a Siteline Project From GCPay
Once Siteline confirms the integration is active, create the project in Siteline and link it to the corresponding GCPay project.
Step 1: Start a new project
From the Billing homepage in Siteline, click + New project in the upper-right corner.
Step 2: Choose the project type
In the Add new project dialog, select the appropriate project type:
Lump sum
Unit price
Time & Materials
Quick bill
Step 3: Select GCPay
When Siteline asks How will you submit pay apps?, select GCPay.
Siteline will search GCPay for projects available to the Siteline Admin user. This may take a moment.
Step 4: Find the GCPay project
On the Link to GCPay dialog, open the project menu or begin entering the project name, number, or general contractor. Siteline will display matching projects.
Keep Active projects only selected to limit the results to active projects. Clear the checkbox if you need to find an inactive project.
If the project does not appear:
Click Refresh and search again.
Clear Active projects only if the project may be inactive.
Confirm that the Siteline Admin user was added to the project.
Confirm that the required global and project-level permissions are enabled.
Contact your Siteline CSM if the project still does not appear.
Step 5: Link the project
Select the correct project. The Link and continue button will become active. Click it to connect the project and continue the import.
Step 6: Review the project setup
Siteline will populate the available project information and SOV from GCPay. Complete the remaining project setup questions.
Depending on your project and Siteline configuration, this may include:
Selecting an integrated ERP
Verifying project and GC information
Entering an internal project number
Confirming whether retention is held
Confirming the pay app due date and project status
Completing any other accounting or tax details shown
Review the information, then click Create project in the upper-right corner. Siteline will create the linked project.
Monthly Workflow: Siteline to GCPay
After the one-time setup, use the following workflow each billing period.
Step 1: Prepare the pay app in Siteline
Open the project and prepare the pay app using your normal Siteline workflow. Enter the billing amounts, attach forms, and complete the required supporting work.
Step 2: Sync the invoice to GCPay
In the Billing module, open the project and pay app you want to sync.
Open the Invoice tab.
Click Sync invoice to GCPay.
A progress dialog will remain open while Siteline syncs the billing values. Do not navigate away from the page or close the browser tab during this process.
When the sync finishes successfully, Siteline will display a confirmation. Click Submit on GCPay to continue the process in GCPay.
Step 3: Complete submission in GCPay
After syncing, log in to GCPay and complete any remaining signatures, notarization, and final submission steps. Syncing from Siteline does not complete the final submission for you.
If the sync fails
Siteline will display a failure dialog. If GCPay provides a message explaining the issue, Siteline will include it in the dialog.
Correct the issue, then click Sync again or repeat the sync process from the Invoice tab. Contact your Siteline CSM if the error continues or does not include enough information to resolve it.
Sync Compliance Documents to GCPay
Compliance documents use their own syncing workflow in Siteline.
Open the Compliance module and select the applicable project.
Open the Requirements tab.
Click the blue Queue to sync icon for each document you want to send. Documents you complete or upload are automatically added to the queue.
After adding all applicable documents, click Sync to GCPay.
Review the list of requirements, then click Sync to GCPay again to confirm.
When Billing Was Entered or Changed in GCPay
Sometimes you may need to submit billing directly in GCPay, or the GC may modify your billing there. In those cases, update Siteline to match GCPay and mark the pay app as synced without sending data.
In Siteline, open the applicable project.
Update the pay app’s billing values to reflect the values in GCPay.
Click the menu icon on the right side of the pay app.
Select Mark as synced.
Siteline will update the pay app status without sending or overwriting information in GCPay.
Frequently Asked Questions
Does the Siteline Admin user need Administrator-level access?
No. The user needs the specific global and project-level permissions described above, but it does not need Administrator-level access.
Do I need help from my IT team?
No. Setup happens entirely inside GCPay and can be completed by someone at your company who manages GCPay users and project permissions.
Do I need to add the Siteline Admin user to every project?
Add the user to every existing GCPay project you want to connect to Siteline. Enabling Default User automatically adds the user to new GCPay projects created in the future. You should still confirm that the required project-level permissions are enabled.
Why can’t I find my project in Siteline?
First, click Refresh and confirm whether Active projects only should be selected. If the project still does not appear, verify that the Siteline Admin user was added to the project and has all required global and project-level permissions. Contact your Siteline CSM if you still cannot find it.
What information can Siteline send to GCPay?
Siteline supports sending billing values, retention, lien waivers, and compliance documents to GCPay. Compliance documents use the separate workflow in the Compliance module described above.
Does syncing from Siteline submit the pay app completely?
No. You must complete any remaining signatures, notarization, and final submission steps in GCPay.
What should I do if the GC changes my billing in GCPay?
Update the pay app in Siteline so it matches GCPay, then select Mark as synced. This updates the Siteline status without sending data back to GCPay or overwriting the GC’s changes.
What should I do if the sync fails?
Review the error message in Siteline, correct the issue, and sync again. If the error persists, contact your Siteline CSM.
