Siteline + Procore Integration Guide

Get the full value of Siteline while continuing to submit pay apps through Procore.

Written by Bradley LaFave

Siteline simplifies how subcontractors prepare, track, and sync pay apps when a general contractor requires Procore. This guide explains how Siteline and Procore work together, what each party must do to set up the integration, what information flows between the systems, and how to complete your monthly billing workflow.

Important: The Procore integration requires help from your general contractor. Before you can import a project or sync billing, the GC must install the Siteline Connector in Procore and create a Siteline Admin user with access to your company’s applicable commitments. The GC controls this process and must approve the request.

How Siteline Works With Procore

Siteline becomes the place where your team prepares and manages monthly billing. Once your pay app is ready, Siteline creates a new draft invoice in Procore with the billing values you entered. You then complete any remaining signatures and final submission steps in Procore.

Party Responsibilities: Who does what?

Party

Responsibilities

Your company

Ask the GC to complete the required setup, create the project in Siteline by linking it to Procore, prepare billing in Siteline, sync the draft invoice, and complete final submission in Procore.

Your GC or Procore administrator

Install the Siteline Connector, create the Siteline Admin user, and give that user access to your company’s applicable commitments and SOVs.

Siteline

Provide the Siteline Admin email address, finalize the connection after the GC completes its steps, and let you know when the integration is active.

What the Products Do

What Siteline does

  • Connects a new Siteline project to the corresponding project in Procore

  • Imports project information and the schedule of values

  • Gives your team a consistent place to prepare and manage billing

  • Creates a new draft invoice in Procore with your billing values

  • Displays available Procore error information if a sync fails

What Procore does

  • Holds the GC’s project, commitment, and SOV information

  • Receives the draft invoice created from Siteline

  • Handles any remaining signatures and final submission steps

  • Remains the portal through which the GC reviews and manages your billing

Information Available Through the Integration

For each commitment the Siteline Admin user can access, Siteline can pull the following information from Procore:

  • Basic project information, including the project name, number, and location

  • Basic commitment information, including the commitment name and status

  • Schedule of values line items and change orders

  • Previous invoice amounts, when applicable

When you sync billing from Siteline, Siteline creates a new invoice in Procore with draft billing values.

Siteline can only access information made available to your company through the commitments assigned to the Siteline Admin user. It cannot access data from other subcontractors’ commitments.

One-Time Setup: What Your GC Must Do

Before Siteline can connect to the GC’s Procore projects, confirm that the GC has installed the connector and created the Siteline Admin user. Siteline will then finalize the integration.

Step 1: Check whether the connector is already installed

First, check the Procore GCs connector status page to see whether your GC has already installed the Siteline Connector.

  • If the GC is listed as Installed, it does not need to install the connector again. Continue to the Siteline Admin user requirements below.

  • If the GC is listed as Not installed, ask its Procore administrator to install the Siteline Connector from the Procore Marketplace.

  • If the GC is not listed, contact your Siteline CSM for help confirming its status.

The connector only needs to be installed once at the GC’s company level. However, each Siteline customer still needs its own Siteline Admin user, and that user must be given access to the applicable commitments for each project.

Step 2: Ask the GC to create the Siteline Admin user

Ask the GC to add a new user to its Procore directory under your company using the following information:

Field

Value

First name

Siteline

Last name

Admin

Email

The email address provided by your Siteline CSM

Company

Your company name exactly as it appears on your subcontract in Procore

The Siteline Admin user needs the same access the GC would give one of your project managers who works on progress billing:

  • Change Orders: Standard

  • Change Events: Standard or Read-Only

  • View SOV Items: On

  • Access to the relevant commitments for your company in each project, including any subcontractor SOVs (SSOVs)

If the commitment is public, no additional visibility changes are required. If it is private, the GC must add the Siteline Admin user under Access for Non-Admin Users and select Allow these non-admin users to view the SOV items.

Step 3: Siteline finalizes the integration

Once the GC has created the user and installed the connector, let your Siteline CSM know. Siteline will finish the setup and notify you when the integration is active.

Email template for your GC

You can revise and send the following email to your GC point of contact:

Subject: Procore setup needed for our Siteline integration

Hello [GC point of contact],

We use a billing platform called Siteline to help us centralize and manage our accounts receivable process. Siteline integrates with Procore, allowing us to import project and schedule of values information and transfer our draft billing values into Procore each month.

To activate the integration, we need your help with two steps:

  1. Please install the Siteline Connector from the Procore Marketplace if it is not already installed. The connector only needs to be installed once at the company level.

  2. Please create a user in your Procore directory under our company using the following information:

  • First name: Siteline

  • Last name: Admin

  • Email: [email provided by our Siteline CSM]

  • Company: [our company name exactly as shown on our subcontract]

Please give the Siteline Admin user the same access you would give one of our project managers who works on progress billing, including:

  • Change Orders: Standard

  • Change Events: Standard or Read-Only

  • View SOV Items: On

  • Access to the relevant commitments for our company, including any subcontractor SOVs

If a commitment is private, please also add the Siteline Admin user under Access for Non-Admin Users and select Allow these non-admin users to view the SOV items.

Please let us know when these steps are complete. We can connect you with the Siteline team if you have any questions.

Thank you!

Create a Siteline Project From Procore

Once Siteline confirms the integration is active, create the project in Siteline and link it to the corresponding Procore project.

Step 1: Start a new project

From the Billing homepage in Siteline, click + New project in the upper-right corner.

Step 2: Choose the project type

In the Add new project dialog, select the appropriate project type:

  • Lump sum

  • Unit price

  • Time & Materials

  • Quick bill

Step 3: Select Procore

When Siteline asks How will you submit pay apps?, select Procore.

Siteline will search Procore for projects available to the Siteline Admin user. This may take a moment.

Step 4: Find the Procore project

On the Link to Procore dialog, open the project menu or begin entering the project name, number, or general contractor. Siteline will display matching projects.

Keep Active projects only selected to limit the results to active projects. Clear the checkbox if you need to find an inactive project.

If the project does not appear:

  • Click Refresh and search again.

  • Clear Active projects only if the project may be inactive.

  • Confirm that the GC installed the Siteline Connector.

  • Confirm that the Siteline Admin user belongs to the correct company and has access to the applicable commitment and SOV.

  • Contact your Siteline CSM if the project still does not appear.

Step 5: Link the project

Select the correct project. The Link and continue button will become active. Click it to connect the project and continue the import.

Step 6: Review the project setup

Siteline will populate available information from Procore, including the project information and SOV. Complete the remaining project setup questions.

Depending on your project and Siteline configuration, this may include:

  • Selecting an integrated ERP

  • Verifying project and GC information

  • Entering an internal project number

  • Confirming whether retention is held

  • Confirming the pay app due date and project status

  • Completing any other accounting or tax details shown

Review the information, then click Create project in the upper-right corner. Siteline will create the linked project.

Monthly Workflow: Siteline to Procore

After the one-time setup, use the following workflow each billing period.

Step 1: Prepare the pay app in Siteline

Open the project and prepare the pay app using your normal Siteline workflow. Enter billing amounts, review the SOV, and complete the required forms and supporting work.

If your GC changes retention information in Procore, adjust the retention in Siteline to match before syncing the invoice.

Step 2: Sync the invoice to Procore

  1. In the Billing module, open the project and pay app you want to sync.

  2. Open the Invoice tab.

  3. Click Sync invoice to Procore.

A progress dialog will remain open while Siteline syncs the billing values. Do not navigate away from the page or close the browser tab during this process.

When the sync finishes successfully, Siteline will display a confirmation. Click Submit on Procore to continue the process in Procore.

Step 3: Complete submission in Procore

After syncing, complete any remaining signatures and final submission steps in Procore. Syncing creates the draft invoice, but it does not complete the final submission for you.

If the sync fails

Siteline will display a failure dialog. If Procore provides a message explaining the issue, Siteline will include it in the dialog.

Correct the issue, then click Sync again or repeat the sync process from the Invoice tab. Contact your Siteline CSM if the error continues or does not include enough information to resolve it.

When Billing Was Entered or Changed in Procore

Sometimes you may need to submit billing directly in Procore, or the GC may modify your billing there. In those cases, update Siteline to match Procore and mark the pay app as synced without sending data.

  1. In Siteline, open the applicable project.

  2. Update the pay app’s billing values to reflect the values in Procore.

  3. Click the menu icon on the right side of the pay app.

  4. Select Mark as synced.

Siteline will update the pay app status without sending or overwriting information in Procore.

Frequently Asked Questions

Does the GC have to install the connector for every project?

No. The GC installs the Siteline Connector once at the company level. However, the GC must still create the Siteline Admin user under your company and give it access to the applicable commitments and SOVs.

What if the GC already has the Siteline Connector installed?

The GC does not need to install it again. It still needs to create or confirm the Siteline Admin user and give that user the required project and commitment access.

What happens if the GC does not install the connector?

Siteline cannot import or sync the GC’s Procore projects through the integration. You can still submit billing directly in Procore, update the corresponding pay app in Siteline, and use Mark as synced to keep its status current.

Does the integration change how the GC uses Procore?

No. Siteline functions like another project manager under your company. The integration does not change the GC’s billing workflows or affect subcontractors that do not use Siteline.

Can Siteline access other subcontractors’ information?

No. Siteline can only access information available through the commitments assigned to your company’s Siteline Admin user.

Why can’t I find my project in Siteline?

First, click Refresh and confirm whether Active projects only should be selected. If the project still does not appear, the GC may not have completed the connector installation, user setup, or commitment-access requirements. Contact your Siteline CSM for help confirming the setup.

Does syncing from Siteline submit the invoice completely?

No. Siteline creates the draft invoice and sends your billing values to Procore. You must complete any remaining signatures and final submission steps in Procore.

What should I do if the GC changes my billing in Procore?

Update the pay app in Siteline so it matches Procore, then select Mark as synced. This updates the Siteline status without sending data back to Procore or overwriting the GC’s changes.

What should I do if the sync fails?

Review the error message in Siteline, correct the issue, and sync again. If the error persists, contact your Siteline CSM.
