The Collections tab gives your team one place to see which invoices are still open, how long they have been aging, and where follow-up may be needed.
Instead of opening each project one by one, you can use the Invoices tab to review outstanding pay apps across projects, search for a specific project or GC, filter the list, add predicted payment dates, and export the information for further review.
What you can do from the Invoices tab
Use the Invoices tab to:
See open invoices across projects
Review the outstanding amount for each pay app
Check the estimated due date
Add or review a predicted payment date
Sort invoices by days aged
Search by project number, project name, or GC
Filter the list to focus on the invoices that need attention
Export the list for offline review or reporting
Open the Collections tab
Click Collections in the main navigation.
Click the Invoices tab.
You’ll see a list of outstanding invoices across your projects.
Review open invoices
Each row in the Invoices tab represents an outstanding invoice or pay app.
You’ll see details like:
#: Project number
Project: The project tied to the invoice.
Outstanding invoice: The pay app number, submitted date, and amount still outstanding.
: View and add comments. (Tip: use "@" to tag another user and notify them.)Est. due date: The estimated date payment is due based on the project’s payment terms.
Predicted payment date: An expected payment date your team can add when you have more information from the GC or customer. (See the callout below for how Siteline can calculate a predicted payment date for you.)
Days aged: How long the invoice has been aging.
Use this view to quickly understand which invoices need follow-up first.
Search for a project, invoice, or GC
Use the search bar near the upper right to narrow the list.
You can search by project number, project name, or GC/customer name.
Search is useful when you need to quickly find a specific invoice or review outstanding invoices tied to a specific GC.
Filter the invoice list
Click Filters to narrow the invoice list.
Filters help your team focus on the invoices that matter most, such as invoices tied to a specific office, project type, customer, project manager, or aging range.
Add a predicted payment date
To have Siteline bulk update and add predicted payment dates for those submitted pay apps without one, click Add predicted payment dates.
When you click Update pay apps, Siteline adds predicted payment dates to submitted pay apps that do not already have one. You can update individual dates later, but the bulk action cannot be undone.
How Siteline creates a predicted payment date
Siteline creates a predicted payment date by suggesting one based on the best payment timing info available, then you can accept it or pick a different date.
The suggested date is determined in this order:
average days to paid for that project
average days to paid for that GC across your projects
average days to paid for that GC across all Siteline projects
payment terms set on the project
a standard 30-day payment term
You can review the suggestion or choose your own date. You can update it anytime.
Sort by days aged
Use the Days aged column to prioritize older invoices.
Invoices with higher days aged have been outstanding longer, so this is a good place to start when deciding what needs follow-up.
The up or down arrow is clickable and will sort them in oldest or newest order.
Export the invoice list
Click Export toward the upper right to download the invoice list into a .xlsx format.
This can be helpful if you need to share open invoice details with leadership, review the data outside Siteline, or include it in a recurring A/R meeting.
Tips for using the Invoices tab
Start with the oldest invoices first.
Add predicted payment dates when a GC gives you an expected payment date.
Use filters to focus on the projects or customers you own.
Export the list before recurring collections meetings.
Use the project-level Collections tab when you need to review reminders, comments, or tasks tied to a specific pay app.
