Lien Rights Management: Getting Started

Lien rights are one of the strongest protections subcontractors have to ensure they get paid but only if deadlines are tracked and documents are filed correctly.

Siteline helps you track deadlines automatically, generate required documents, and maintain proof of filing so you donโ€™t lose leverage due to missed steps.

โœ… Step 1: Manage Project Tracking & Notifications

Turn On Tracking

Decide whether you want lien rights tracking enabled automatically for all projects, or manually per project.

To automatically track all projects:

  1. Click the Company dropdown (upper right)

  2. Select Company Settings

  3. Click Edit

  4. Toggle on Default lien rights tracking

  5. Click Save

If you prefer to manually select projects, leave this setting off.

Manage Notifications

Make sure the right people are notified before deadlines hit.

  1. Click the Company dropdown

  2. Select Account Settings

  3. Find Lien rights deadlines & reminders

  4. Enable your preferred daily and/or weekly email notifications

Set this up early because reminders are your safety net.

Begin Tracking Projects

Once enabled, start tracking lien rights at the project level.

Use the Look Ahead View

Stay proactive instead of reactive. The Look Ahead View shows upcoming deadlines so you can prioritize filings before they become urgent.

โœ… Step 3: Create & Send Required Documentation

Build Your Document Library

Before deadlines approach, upload and digitize your legal forms.

We recommend adding all lien-related forms you currently use, such as: Notice to Owner, Preliminary Notice, or your State-specific compliance forms. This ensures theyโ€™re ready when milestones require action.

Create Required Documents

When a milestone requires filing:

  • Generate documents directly in Siteline

  • Complete required fields

  • Download, print, or send for mailing (if enabled)

Send & Track Mail

If mailing through Siteline:

  • Select mailing options

  • Track status

  • Confirm filing dates once sent

Youโ€™re fully set up when:

  • Default tracking is configured

  • Notifications are enabled

  • Active projects are being tracked

  • Look Ahead view is part of your workflow

  • Compliance forms are uploaded and digitized

  • Filing and mailing workflows are tested

Once this is complete, Siteline handles the heavy lifting like tracking deadlines, organizing documentation, and keeping your lien rights protected.
