Creating and submitting a new change order request (COR)

Siteline gives you the ability to create, track, and manage change order requests (CORs) via the Change Orders tab within each project.

ℹ️ To use the Change Order Management feature on your project, your company must have a COR template set up in Siteline in order to create your COR document package. COR forms for your projects can be sent to submitted when creating a new project in Siteline. For processing, simply send us any recently submitted change order request or ask us to use the default Siteline template!

Step-by-step instructions

  1. In the Billing module, click the project you wish to create a COR for, then click the Change Orders tab near the top of your screen. This will take you to the project’s change order log.

  2. To create a new COR, click the Create change order request button in the upper-right corner of the change order log. This will take you to the New change order request page to enter COR information.

  3. Enter the COR information requested on this page and add any backup attachments and internal notes to the COR. Once all the requested information is entered, click Save in the upper-right corner of the page. You will then be taken back to the change order log for the project where you can add additional CORs as needed.

  4. When you are ready to submit your COR, click on the relevant COR in the change order log to open it. After reviewing the COR information, click the Generate forms button in the upper right corner and Siteline will create your COR document package for review and signature on the following page.

  5. Once you have reviewed the COR documents, completed all required fields on the form, and applied your digital signature, click on Complete forms in the upper-right corner. Siteline will then finalize any information and signatures in the COR package.

  6. On the following page, click Submit in the upper-right corner. You will be prompted to enter the COR recipient’s email address, edit the email subject line, and add any notes to the email. Click the Submit button at the bottom of the prompt. Siteline will send the completed COR to your selected recipient and you’ll receive a copy of the email in your inbox and you will be brought back to the change order log.

Change order reporting

You can view your pending change order information across all jobs via our Reporting tools. To export the pending change order report, click on the Reporting tab in Siteline. Next, click the Import/Export button in the top right corner, and choose Export pending COs. This will generate an Excel file with two tabs - one that summarizes change order information per job, and another that lists every change order that has not yet been added to the SOV.

ℹ️ Friendly reminders:

  1. Any notes you enter in the Internal notes area will be private to your team on this project and will not be sent to your GC with your COR submission.

  2. You can add existing change orders to your project and mark them as "Submitted" without actually submitting them. To mark COR's as submitted, click the 3 gray dots on the right hand side of the change order row.

  3. If you are proceeding with work while the COR is still pending, be sure to click the Proceed with work slider to indicate that in your change order log.

🪄 Siteline magic: If you have previously submitted a COR through the Change Orders tab on Siteline, the previous recipient’s email address and information will automatically appear in your newly-created COR.
