Synced invoices
Where do I find an invoice I synced from Siteline?
In ComputerEase's Freeform Invoices screen. Siteline creates the invoice unposted, so it doesn't reach receivables or your general ledger until your team reviews it and posts it the way you post your other A/R invoices.
Why doesn't the invoice show up on ComputerEase's AIA progress billing screen?
Siteline writes each pay app as a freeform invoice, not as an AIA application. ComputerEase's AIA progress billing screens aren't updated for pay apps billed in Siteline, but receivables, the general ledger, and job billing reports reflect the invoice once it's posted.
How do I fix an invoice after syncing it?
Edit it in ComputerEase before you post it. If you'd rather sync the pay app again from Siteline, delete the unposted invoice in ComputerEase first: Siteline won't create a second invoice with an invoice number the customer already has.
What invoice number does Siteline use?
The one entered in the sync dialog. If you leave it blank, ComputerEase assigns its next invoice number. Invoice numbers can be up to 8 characters and must be unique for the customer.
What gets billed
Which customer is the invoice billed to?
The customer on the ComputerEase job. To bill a different customer, change the customer on the job in ComputerEase, then sync. A job with no customer can't be synced.
How is retention handled?
ComputerEase holds retention for the whole invoice, so the retention held on the pay app is written as a single amount. Retention released on the pay app appears as its own line on the invoice.
Why can't I sync a pay app that bills line items with different tax groups?
A ComputerEase freeform invoice carries one sales tax code. Each line on it is either taxable or not, so a pay app whose taxed line items all share one tax group syncs normally, as does a pay app with no tax.
Does revenue post to the right phases and categories?
Yes, when every line billed on the pay app has a phase on the job's AIA schedule. If any billed line doesn't, for example when the pay app releases retention, the invoice posts to the job as a whole.
Does Siteline mark pay apps paid?
Yes. When your team records a payment in ComputerEase against one of the job's invoices, Siteline marks the matching pay app paid, or partially paid, overnight. This works whether the invoice was synced from Siteline or entered in ComputerEase. This needs Detect paid pay apps turned on in the project's integration settings.
Can one project bill several ComputerEase contracts?
Yes. Link each ComputerEase contract to the project and assign each SOV line to one of them. When you sync a pay app, you sync it once per contract, and each sync creates a freeform invoice with only that contract's lines and retention. Give each one its own invoice number.
Projects and schedules of values
Why is a job missing from the list when I create a project?
Siteline lists active, open ComputerEase jobs that have a name. A job with several AIA schedules appears once per schedule, and schedules that only hold change orders aren't listed on their own.
Can I set up time and materials or unit price projects?
Not yet. The integration supports lump sum projects.
A new change order in ComputerEase isn't in Siteline. What should I do?
Add it to the job's AIA schedule in ComputerEase if it isn't there yet. Then, on the project's SOV tab in Siteline, choose Import from ComputerEase → Change orders. Change orders kept on a separate AIA schedule aren't pulled in; add them to the job's main schedule instead.
Where do the previously billed amounts come from?
From the last AIA application invoiced in ComputerEase for that schedule. This lets you continue billing an in-progress project in Siteline where you left off.
Some jobs failed during a bulk import. Why?
Siteline needs a project address. Jobs without an address in ComputerEase fail to import; add the address on the job in ComputerEase and import them again.
Connection
A sync failed because the connector is offline. What does that mean?
The Siteline Connector, which links Siteline to ComputerEase, isn't reachable. Check that the computer it's installed on is turned on and connected, then try again. If it keeps happening, contact your Siteline CSM.
Can we try the integration before going live?
Yes. The Siteline Connector can connect to a ComputerEase practice company, so you can sync test invoices without touching your live books.
