Use the Customers workspace to manage customer relationships

The Customers workspace gives your team one place to understand and manage each GC or customer relationship across projects.

Instead of piecing together information project by project, you can see customer-level contract value, outstanding balances, payment history, contacts, projects, and collections settings in one view. This makes it easier to understand which customers owe money, how quickly they typically pay, and how your team works with them across the company.

Use the Customers workspace to:

  • Review A/R and payment performance by customer

  • Find customer contacts and see which documents they receive

  • Keep business information current

  • Set consistent collections defaults across projects

  • See every project associated with a customer


Open the Customers workspace

Click Customers in the main navigation.

The Customers workspace displays a company-wide list of the GCs and customers associated with your projects.


Review your customer list

The customer list gives you a high-level view of each relationship.

For every customer, you can see:

  • Customer: The customer or GC name and available location information

  • Contract value: The combined contract value of projects associated with the customer

  • Outstanding: The total amount that remains unpaid

  • Past due: The portion of the outstanding balance that is currently past due

  • Active projects: The number of active projects associated with the customer

  • Avg. days to paid: The customer’s average payment time

This view can help your team quickly identify customers with large outstanding balances, past-due invoices, or longer payment cycles.

Sort the list

Click any column header to sort the list by that field.

Click the same header again to switch between ascending and descending order.

For example, you can sort by:

  • Highest outstanding balance

  • Largest past-due balance

  • Most active projects

  • Longest average payment time

Search for a customer

Use the search box in the upper-right corner to find a customer. Begin typing a few letters from the customer’s name, and Siteline will narrow the list to matching results.


Open a customer detail page

Click a customer’s name to open their detail page.

The customer detail page brings together information from every project associated with that customer.

At the top of the page, you’ll see four summary metrics:

  • Total contract value: The combined value of the customer’s projects

  • Outstanding balance: The total amount that remains unpaid

  • Number of projects: The number of projects associated with the customer

  • Avg. time to payment: How long the customer typically takes to pay

Use the navigation on the left to move between:

  • Business information

  • Contacts

  • Collections

  • Projects


Review and edit business information

The Business information section stores customer-level details such as:

  • Addresses

  • Phone number

  • Company email

  • Notes

Keeping this information current gives your team a shared source of truth for the customer, rather than relying on details stored across individual projects or inboxes.

Edit business information

  1. Click Edit in the upper-right corner of the Business information section.

  2. The section will change into an editable form while you make your updates. Update the desired fields.

  3. Click Save.

The updated information will now appear.


Review customer contacts

The Contacts section brings together the contacts associated with this customer across your projects.

For each contact, you can see:

  • Name

  • Job title

  • Email address and phone number

  • The types of documents they receive

  • The number of projects they are associated with

Document labels may include:

  • Pay applications

  • Lien waivers

  • Collections emails

  • Compliance documents

  • Change orders

These document labels are inherited from each project and cannot be edited from the Customers workspace.

View a contact’s details and projects

Click a contact’s name to open their contact card.

The contact card shows:

  • Company

  • Job title

  • Email address

  • Phone number

  • Associated projects

  • The types of documents they receive for each project

Click an associated project to open that project in Billing. Siteline will take you to the project’s Settings tab, where you can manage the project’s GC contacts and settings.

Add a new customer contact

New customer contacts are added from the project where the contact is used.

To add a contact:

  1. Open the appropriate project in Billing and then click the project’s Settings tab. You can also shortcut here by clicking the project name on the contact card like described above.

  2. Add the new GC contact.

Once the contact is associated with the project, they will also appear on the corresponding customer detail page.


Set customer-level Collections defaults

The Collections section lets you create a consistent reminder schedule for projects with a specific customer.

Instead of configuring the same reminder timing separately on every project, you can set customer-level defaults once. Projects associated with that customer inherit those settings, while still allowing your team to override them when an individual project needs a different approach.

This is especially useful when a GC follows a consistent payment process across many jobs.

For example, you could set defaults to:

  • Send a pay app confirmation one day after submission

  • Send an upcoming payment reminder one week before payment is due

  • Send an overdue reminder one week after payment is due

Enable a reminder

Collections defaults are available for three reminder types:

  • Pay app confirmation: Asks the GC to confirm receipt after a pay app is submitted

  • Upcoming payment deadline: Reminds the customer before payment is due

  • Payment overdue: Follows up after payment becomes past due

To enable a reminder:

  1. Find the reminder you want to configure.

  2. Click Click to enable, then select On.

  3. Enter the desired number and choose the unit of time, such as days or weeks.

  4. Review the resulting reminder timing. Once completed, click the left arrow in the upper left of the Customer profile page to back back to the main Customer page.

For example:

Send 1 week after pay app submission.

Or:

Send 1 week before payment is due.

Projects associated with the customer will inherit these defaults unless someone sets a project-level override.

Reset/Revert back to inherited: You can reset back to inherited settings whcih will be the email template at any time by clicking the Revert to inherited button.

Edit the email copy

Customer-level Collections defaults control whether and when reminders are sent.

The Email templates area controls what those reminder emails say.

Click Edit templates to open the company-wide email template library, where you can customize the subject line and message for each type of automated reminder.


Review the customer’s projects

The Projects section shows every project associated with the customer.

For each project, you can see:

  • Project name and number

  • Contract value

  • Gross billed

  • Outstanding balance

  • Average days to paid

This gives your team a customer-level view while still making it easy to identify the individual projects contributing to the customer’s overall balance and payment history.

Click a project to open it in Billing and review its pay apps, collections activity, forecast, change orders, or settings.

New projects are created and managed from Billing.


Customer-level defaults vs. project-level settings

Customer-level settings help your team create a consistent collections process across repeat GC relationships.

Project-level settings still give you control when a specific job needs something different.

Use:

  • Customer-level defaults when the same reminder process should apply across projects with that customer

  • Project-level settings when a project has unique payment terms, contacts, or follow-up requirements

When a project-level setting differs from the customer default, the project-specific setting takes precedence.
