Siteline + QuickBooks Online - FAQ

Frequently asked questions about the QuickBooks Online integration

Written by Bradley LaFave

Intended audience: accountant or project manager. Common questions about how Siteline and QuickBooks Online work together.

Do I need to be a QBO admin to connect?

Yes. Only QBO admin users can authorize the Siteline connection.

Do I need estimates in QBO?

No, but if you want line-item invoices in QBO, you must maintain estimates there.

Can I import all my projects at once?

Not yet.

Can one Siteline project map to multiple QBO projects?

Not currently supported.

What happens if QBO applies tax differently?

Siteline sends pretax amounts; QBO computes and applies taxes based on its settings.

Does syncing invoices update progress against estimates in QBO?

No. QuickBooks Online's API does not support linking progress invoices to estimates. While Siteline syncs accurate line-item invoices, progress tracking against estimates in QBO is not updated.

How are cost codes (Product/Service) handled in QBO reporting?

While invoices synced from Siteline are not linked to estimates for progress tracking, each invoice line item is posted to QuickBooks Online using the same Product/Service assigned to the original estimate line. This ensures cost code–based reporting, P&L, and financial analysis in QBO remain accurate.

Does Siteline sync retention-only invoices to QuickBooks Online?

No. Retention-only invoices are managed entirely in Siteline and are not synced back to QuickBooks Online.
